Work Environment
- Onsite in Brooklyn Park, MN
- Full-Time, daytime schedule
- $28.99-32.74 / hour depending on experience
- Non-exempt
Executive Support-
- Manage complex calendars, including scheduling meetings, coordinating appointments, and resolving scheduling conflicts
- Prepare and organize meeting agendas, executive summaries, and follow up documentation
- Handle sensitive and confidential information with professionalism and discretion
- Conduct research, compile data, and prepare executive summaries
- Anticipates executive needs and proactively identifies solutions
Communication & Coordination
- Draft, review, edit and distribute communication as requested
- Compile, edit, and organize reports and presentations
- Utilize various software platforms to create or enhance documents and forms
- Plan and execute leadership meetings and service team events
- Compile, transcribe and distribute meeting minutes
- Coordinate meeting logistics including venues, catering, material, and equipment needs
- Collaborate with internal teams to schedule and support Mains’l employee events
- Partakes in Employee Recognition Committee
- Track expenses, process invoices and support budget management
- Creates a variety of reports upon request
- Gather and submit required reports and documentation to external contractors
- Assist with managing, tracking, and filing service-related licenses and certifications
- Track and manage county and state licensing visits in partnership with services, maintenance, and property management teams
- Manage service referral process in collaboration with services leadership
About You:
Education & Experience
- 5 Years of experience in Progressive Administrative Services
- 2 years of executive assistant experience
- Associates degree in Business Administration, Office Administration, Communication or Management
- Bachelor’s degree Preferred
- Coursework or certifications related to Office Administration, project management, Microsoft Office, time- management or productivity systems
